Privacy Policy
This privacy policy will explain how We Are Systematic Ltd. uses the personal data we collect from you when you use our website.
Who we are. We Are Systematic Ltd ("WAS", "we") is a product strategy and design consultancy registered in England and Wales, company number 12486536, registered office Projects Beach, 8-9 Ship Street, Brighton BN1 1AD. We are the data controller for the personal data described in this policy. Contact: hello@wearesystematic.com. Last updated: 2 October 2026.
What this policy covers. How we use personal data about visitors to this website, people who contact us, business contacts at clients, prospects, partners and suppliers, people who take part in research we run, and people who appear on our website with their consent. Where we process personal data on behalf of a client (for example research participants in a client project), the client is the controller and its privacy notice applies; we act under a written contract as processor.
What we collect and where it comes from. Name, job title, employer, work contact details and the content of your messages, which you give us when you use the contact form on this site, email us, meet us, connect on LinkedIn or attend an event; publicly available professional information about you and your company, which we gather when researching prospective clients; information you provide if you take part in our research, which we collect only with your agreement at the time; and, if you are a collaborator who has opted in, the profile information you give us for our website. This website is hosted on Framer. Framer gives us aggregated visitor statistics (page views, referring sites, countries, device and browser types) using its built-in analytics, which set no cookies and keep no persistent identifier: unique visitors are counted within a single day from a hash of connection and browser details that is not stored as a profile of you. We use only the cookies strictly necessary for the site to work (for example to remember your language choice). We have not installed Google Analytics or any other third-party tracking, and if that changes we will update this policy and ask for your consent first.
Why we use it and our lawful basis. To respond to you and to provide our services, because that is necessary to perform or prepare a contract with you or your employer. To understand and contact businesses that may need our services, and to run, measure and improve this website, because we have a legitimate interest in developing our business and keeping our site working, balanced against your interests. To send you content or news about our work by email where you have asked for it or where you are a business contact and we judge it relevant to your role; you can opt out at any time by replying or emailing us, and we will stop. To publish a collaborator profile, only with your explicit consent, which you may withdraw at any time, after which we remove the profile within 14 days. To keep records we are required to keep by law.
Who we share it with. The service providers that run our business, each under a contract that requires them to protect your data and not use it for their own purposes: Proton (email, files and calendar), Stackfield (project management), Jamie (meeting transcription), Anthropic (business AI tools configured so that your data is not used to train models), Figma (design), Framer (website hosting), our accountants and professional advisers, and freelancers working under our direction. We do not sell personal data and we do not use it to train AI models.
International transfers. Our core systems are in the UK and the EEA, which the UK treats as providing adequate protection. Where a provider is outside the UK and EEA, we rely on the UK's adequacy regulations or the UK International Data Transfer Agreement or Addendum, and you can ask us for details.
How long we keep it. Messages and business-contact details for as long as we are in contact with you and for up to three years after our last contact; contract and financial records for six years after the engagement ends, as the law requires; research data for the period stated when you took part; collaborator profiles until you withdraw consent.
Your rights. You can ask us for a copy of your personal data, ask us to correct or delete it, restrict or object to our use of it, or ask for it in a portable form. There is no fee. We respond within one month, extendable by two months for complex requests, and we will tell you if we need longer. Email hello@wearesystematic.com.
How to complain. If you are unhappy with how we have handled your personal data, you have the right to complain to us first, and we would rather hear it from you directly. You can do this in any of three ways: email hello@wearesystematic.com with "data protection complaint" in the subject line; use the contact form at wearesystematic.com/contact and start your message with "data protection complaint"; or write to the Data Protection Lead, We Are Systematic Ltd, Projects Beach, 8-9 Ship Street, Brighton BN1 1AD. Tell us what happened, what you would like us to do, and whether you have raised it with us before. We will acknowledge your complaint within 30 days of receiving it, investigate it without undue delay, keep you informed, and tell you the outcome and what we have done about it. If you are not satisfied with our response, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Changes. We review this policy at least yearly and whenever our processing changes. The date at the top is the date of the current version.
